We are looking for a Management Assistant Offshore for Hoboken.

In this role you support the department manager(s) with various administrative tasks and reportings.

The job in details:

  • manage and support all internal projects and communication of the department
  • provide daily operational support to the department head(s):
    • agenda and e-mail management
    • organization, planning and follow-up of internal and external meetings at division level:
      • organize meetings and schedule appointments
      • prepare and report meetings
      • prepare presentations and documents
      • logistical support (reservation of foreign trips, rooms, flip chart, beamer, lunch,…)
      • development and follow up of action points (reference lists,…)
      • format and manage correspondence
      • process internal documents (illness, leave requests,…)
      • processing orders to suppliers and reception of goods in SAP
  • telephone support in the absence of the manager(s)
  • single point of contact for all official internal and external communication of the department
  • support preparation and organization of customer and personnel events for the department
  • collection and processing of data necessary for reporting to senior management
  • collection and processing of data regarding commercial actions, planning, safety, finance and controlling

What do you need to be successful in this job?

  • experience with the organization of meetings, events
  • in depth knowledge of Word, Excel, PowerPoint, Outlook
  • knowledge of SAP and Sharepoint is a plus
  • you are discrete and handle confidential information in an appropriate manner
  • you able to multi-task and take initiative
  • you can work accurately
  • you are a strong communicator but value teamwork and consultation
  • good spoken and written knowledge of Dutch, French and English
